IT Procurement Specialist

PURPOSE OF POSITION:

The IT Procurement Specialist will be responsible for the administration and processing of 5Qs procurement requests relating to 5Q projects and/or cases. This includes pricing requests, quoting generation and any resulting procurement activities. This role generates SOW and general pricing details, internal procurement pricing, and customer facing quotes for 5Qs resale services. In addition, the Senior IT Procurement Specialist negotiates and performs order management for the purchase of technology hardware, software, licensing, warranties and other IT services ensuring cost-effectiveness and alignment with 5Q strategic goals. Other key responsibilities include working with internal 5Q departments to analyze and identify IT related purchasing needs, research products and suppliers, work directly with strategic procurement partners, determining client facing pricing, and process IT related orders and/or RMAs. The Senior IT Procurement role will work with the PMO, Operations teams, TechIQ and Inventory Management team within 5Q for all ordering needs using selected vendors and established pricing agreements.

MAJOR RESPONSIBILITIES & ACCOUNTABILITIES

1) Triage and process incoming 5Q Assist requests ensuring required details are provided. Work with PMO, 5Q Service Delivery and TechIQ as needed to resolve outstanding issues on incoming requests.

2) Coordinating with internal 5Q departments to identify hardware, software and/or licensing available utilizing strategic procurement partnerships. Determining sourcing, availability and alternative products as necessary.

3) Prepare and issue customer-facing quotes (and requotes) for both 5QAssist cases and projects.

4) Issue pricing requests and/or repricing requests as requested.

5) Identify opportunities for equipment deal registration, vendor negotiations, bulk ordering and/or procurement efficiencies to optimize profit margins.

6) Select products as applicable, issuing purchase orders, RMAs and other vendors required purchase documentation. Prepares, review and issues purchase orders utilizing 5Qs purchase order system

7) Work closely with suppliers to ensure timely delivery of equipment.

8) Verify accuracy of all orders placed with vendor and resolve order issues.

9) Provides input to 5Q teams as requested regarding availability of products and alternative products.

10) Work directly with Inventory Management Team to resolve any fulfillment and/or delivery issues on 5Q projects and/or cases.

11) Identify, track and trend quality control issues on defective or unacceptable goods or services.

12) Maintain awareness of new product and software entering the marketplace as well as vendor product roadmaps

13) Provide excellent customer service through phone, e-mail, direct messaging, posting information in designated systems in a timely and accurate manner

KNOWLEDGE AND SKILL REQUIREMENTS

1. Minimum of 5 years’ IT procurement-related experience in a similar role

2. Familiarity with SaaS, hardware and peripheral purchasing

3. Experience with distribution channel vendors within IT procurement space (TD Synnex, Ingram Micro, D&H, etc)

4. Hands-on experience with high volume quoting and pricing requests.

5. Hands-on experience with inventory management and procurement tools (e.g. ServiceNow, Quickbooks Enterprise, KQM, etc)

6. Familiar with standard ordering and procurement concepts, best practices, and techniques.

7. Able to build and maintain lasting relationships with other 5Q departments, customers and other business parties as required.

8. Excellent verbal and written communication skills.

9. Bachelor’s degree and/or an equivalent certification in supply chain, materials management, business/accounting or related degree.

10. Ability to multi-ask and prioritize tasks to ensure deadlines are exceeded.
