Senior Resale/
Inventory Specialist

The Senior Resale/Inventory Specialist is responsible for the administration of key accounting and inventory functions. The Senior Resale/Inventory Specialist supports finance, procurement, PMO and inventory management through coordinating resale sales orders, inventory system administration, producing resale
invoices, distributing invoices to clients, resale accounts payable processing, reconciliations and implementing policies and procedures that support company initiatives In addition, this role may support other business support responsibilities including accounting, procurement and inventory control backup as
needed.

Essential Duties and Responsibilities:

  • Coordinate resale sales orders in conjunction with procurement and inventory management teams (post quote/procurement - all resale orders including TechIQ, 5QConnect and internal procurement)

  • Coordinate 5QAssist case and task management with procurement and inventory management as 
    applicable (post procurement status)

  • Manage inventory system order management triggers (pick, pack, shipping) in conjunction with inventory management team

  • Coordinate inventory organization and inventory transfers with inventory management team

  • Participate in physical inventory activities as required

  • Audit inventory systems and administer inventory adjustments as required

  • Monitor resale sales order status and delivery execution

  • Manage client invoicing for resale services and associated general ledger transactions as applicable

  • Ensure resale services are being invoiced to customers with no revenue leakage. Identify possible leakage, resolve and report in a transparent manner.

  • Ensure delivery of all resale service-related invoicing to client via email and/or any client portals required for customer invoice delivery and payment processing.

  • Evaluate and analyze revenue transactions to ensure all earned revenue is recognized appropriately

  • Investigate and resolve any client inquiries regarding resale services invoicing

  • Monitor purchase order status and receipt status

  • Review, verify and enter all resale related vendor bills (Account Payable)

  • Resolve any discrepancies occurring with vendor bills and goods receipt records

  • Investigate and resolve any vendor inquiries regarding resale related Accounts Payable

  • Review and analyze vendor account activity ensuring all vendor bills are received and recorded appropriately

  • Evaluate and analyze cost of goods associated with resale and project/services related activities to ensure appropriate cost is accurately recognized. Coordinate as applicable with accounting and/or procurement to resolve issues with cost transactions.

  • Adhere to all SOC2 processes and assist in audit documentation as requested.

  • Other projects and responsibilities as assigned by Senior Director of Finance and Business Support.

  • Responsible for the execution and remediation of identified controls in your area of responsibility.

  • Evaluate, recommend, implement, and document accounting workflow to ensure accuracy.

  • Support Senior Director of Finance and Business Support with 5Q financial reporting, auditing, and fiscal activities.

  • Perform month end financial closing activities as assigned by Senior Director of Finance and Business Support

  • Assist or serve as back-up for corporate/recurring Account Payable processing as required

  • Assist or serve as backup for accounting, procurement or inventory management functions as needed

Educational Requirements

  • Bachelor’s degree desired minimum high school graduate or equivalent combination of education and 
    experience.

Knowledge and Skill Requirements

  • Strong procurement, vendor, inventory background•

  • Intermediate financial and accounting background

  • Experience with quoting, sales orders, procurement and inventory related activities.

  • Ability to work with internal departments, instilling confidence and creating trust.

  • Ability to understand new issues quickly and respond with appropriate decisions

  • Ability to manage responsibilities and work environment with limited daily supervision

  • Excellent verbal and written communication skills.

  • Ability to work under pressure, plan personal workload effectively and delegate.

  • Ability to quickly establish relationships and interact with 5Q partners, executives, and managers.

  • Excellent presentation and facilitation skills.

  • A demonstrated commitment to high professional ethical standards and a diverse workplace.

  • Ability to adapt to a fast paced, continually changing business and work environment while managing multiple priorities.

  • Proficient in Microsoft Office Suite.

Physical Demands and Work Environment

  • Remote with less than 10% travel required

  • Frequent sitting at a desk performing work on a computer
