Procurement and Inventory Specialist
PURPOSE OF POSITION:
The Procurement & Inventory Specialist will be responsible for the managing the hardware, software and materials inventory for 5Q and 5Q’s clients. Working under the direction of the Procurement Manager this position will coordinate his or her efforts with various teams inside 5Q and interface with selected vendors to manage vendor purchases, receive inventory, ship inventory, document inventory, and manage the IT assets for 5Q and its clients. The Procurement & Inventory Specialist may assist the Managed Services and Engineering teams with imaging and staging equipment in peak times or to support large projects. The ideal candidate will have a basic understanding of laptop, desktop and wireless networking equipment, and a strong desire to provide unparalleled customer service to both internal and external clients.
MAJOR RESPONSIBILITIES & ACCOUNTABILITIES

Provide excellent customer service through phone, e-mail, direct messaging, and posting information in designated systems in timely and accurate manner.

Ensure customer satisfaction by meeting customer needs in courteous and timely manner.

Process inventory tickets for managed services and project related equipment needs.

Masters the use of internal inventory tool(s) in order to ensure it is accurate at all times.

Ensure that all equipment received is properly accounted for through accurate data entry of serial numbers.

Conducts periodic physical inventory counts and spot checks.

Works with Managed Services team to confirm customer min/max requirements are maintained.

Provides input to 5Q Procurement Manager on the use and needs for critical spares inventory.

Work with Procurement Manager to identify, track and trend quality control issues on defective or unacceptable goods or services.

Assists with and facilitates RMA for DOA product returns in order to ensure equipment is returned within required vendor timeframe and credit is received.

Manages all product Warranty and Support claims, to include return or replacement of devices on behalf of client.

Master the use of multiple freight and delivery systems in order to ensure timely deliveries, accurate reporting, efficient and cost-effective shipping costs.

Create accurate shipping labels and documentation in order ensure timely, accurate delivery of products.

Schedules delivery and coordinates, with internal and external clients, who are personally responsible for receiving the purchased items.

Proactively communicates the status of all orders to internal 5Q team members and clients through a designated company system.

Track shipments proactively and diligently; confirm delivery to and receipt of hardware with
designated client contact or 5Q resource. -
Submit any shipping claims timely with the carrier; follow through to completion by locating item(s) via
trace and/or ensuring that credit has been issued for shipping fees and claim has been paid for insured
items. -
Assist the Managed Services and Engineering teams in imaging laptops, desktops, and network gear
as directly requested. -
Act as a backup for the Procurement Manager on limited tasks as necessary.
KNOWLEDGE AND SKILL REQUIREMENTS

1-2 years post-secondary education in a computer technology, computer engineering, or
inventory management program is desired or equivalent experience. -
Experience in a similar role, preferably with an IT Managed Service Provider is desired.

Familiar with standard ordering and procurement concepts, best practices, and techniques.

Proficient with MS Office, particularly MS Excel.

Effective attention to detail and a high degree of accuracy (this is critically important).

Basic understanding of laptop, desktop and periphery configurations.
PHYSICAL DEMANDS / WORK ENVIRONMENT
-
Ability to use a keyboard to enter and retrieve data.
-
Must have good eyesight to view computer monitor, phone, and read asset tags.

Lifting and/or carrying of 15-30 lbs.

Ability to remain standing for up to 4 hours at a time during physical inventory cycles.

Ability to move rolling racks from room to room.

While not required, the ability to drive to shipping distribution centers on occasion would be helpful.
